Digital planner
  • Instant download, nothing ships
  • Works with Goodnotes, Notability & any PDF app
  • Yours to keep, no subscription

This wedding seating chart planner is where you work out who sits where before anything is printed: sketch the room, number the tables, fill every seat and keep a guest-to-table index, on 31 hyperlinked pages in Gatsby Art Deco emerald and gold. It's an instant digital download with nothing shipped, made for Goodnotes and iPad.

You get one PDF: 31 undated pages in 4 tabbed sections.

Works in Goodnotes, Notability and Noteshelf on iPad, and in Xodo or Samsung Notes on Android tablets: any note app that keeps PDF links.

A planning tool, not the sign

This PDF is for your tablet, while you're still moving guests around. The sign guests read at the reception is a separate product: the Gatsby Art Deco seating chart template, editable in PowerPoint. Plan here first, then copy the finished table list into the sign.

I. Floor plans

Seven pages to lay out the room. A blank grid, with a line to note what one square equals, comes with a checklist of 14 things to place, from the entrance, dance floor and DJ to the cake table, escort cards, photo booth and exits. Then ready-drawn layouts with every seat numbered and seat 1 at 12 o'clock: 15 round tables of 8 (120 seats), 24 rounds of 8 (192 seats), 12 rounds of 10 (120 seats), five long banquet tables (110 seats), and a mix of six rounds and two long tables (84 seats). Each layout has a head table at the top. The last page is a head table for up to 14, with space for décor and linens, and a sweetheart table with placement, backdrop, flowers and sign.

II. Table assignments

Six pages with four tables each, 24 tables in all. Every table has a line for its name or theme, a seat count and 10 numbered guest lines.

III. Guest index

Six pages, from surnames A to C through T to Z, hold 216 lines in two columns, each with the guest's name, table, meal and a box to tick when the escort card is done. Letters get more or fewer lines depending on how common those surnames are, and no letter is split across pages.

IV. Details

Meals & allergies covers tables 1 to 24 over three pages: name your three meal choices once, then count each meal, kids' meals and allergies table by table, with a box for vendor meals. The page reminds you to confirm every allergy with your caterer. An escort card page has a 12-step checklist, from choosing the card style to packing spares, and a box for how the cards will be displayed. Seating notes keeps track of who to seat together, who to keep apart, and access and comfort needs such as wheelchair space, high chairs or a seat near an exit.

The Gatsby look

The cover is deep emerald with a gold sunburst fan and fine gold rays. Inside, the pages are cream with a stepped gold Art Deco frame, emerald title banners between small gold fans, diamond checkboxes and table headers in emerald. Each section opens on a tall emerald panel. Home and the four section tabs sit along the bottom of every page after the cover, so any page is two taps or fewer away.

Questions

What if we have more than 24 tables? Duplicate a table assignment page in your app and renumber it. The tabs on a copy may not work in every app; the outline panel still reaches every section.

Our tables seat 12. Does it still work? Use the blank grid to draw your own layout, and duplicate a table card if a table needs more than 10 lines.

Can I print it? Yes. It's made for tablets first, but any page prints in landscape with "fit to page" on US Letter or A4. The emerald cover uses a lot of ink.

The rest of the Gatsby suite

The Gatsby Art Deco digital wedding planner holds the guest list, budget and vendors, and the Wedding Checklist & Timeline puts making the seating plan and printing the final chart on its countdown. All four Gatsby pieces come together in the Wedding Planning Bundle, Gatsby Art Deco. More in Getting married.
