Spreadsheet
  • Instant download, nothing ships
  • Works with Excel & Google Sheets
  • Yours to keep, no subscription

This home maintenance checklist comes as a spreadsheet that keeps its own schedule: 35 common tasks are ready to go, you type the date you last did each one, and it shows what is overdue, what is due soon and what belongs to this season. It also logs your repairs against your own upkeep budget, counts down your appliance warranties and lists what you own, room by room. It works in Google Sheets and in Microsoft Excel, and it is an instant digital download: nothing is shipped.

You get: one ZIP file with a PDF that holds your Google Sheets link (open it, then File, then Make a copy) and the same template as an Excel file (.xlsx), with seven sheets plus a guide. Nothing is dated in advance: every due date comes from the last-done dates you type, so the template works for any home and any year.

Works in Google Sheets (a computer is easiest; the app on a phone or tablet works for a quick date) and in Microsoft Excel 2016 or newer. You type only in the cream cells; next due dates, statuses, countdowns, totals and charts update on their own.

Who it's for

  • First-time homeowners who want a home maintenance schedule without building one from scratch.
  • Anyone who wants warranties and repair receipts in one place instead of a drawer.
  • Landlords with one property who want its upkeep in one file.

The Dashboard

Eight figures sit at the top: overdue tasks, tasks due in the next 30 days, tasks with no last-done date yet, spent this year, your budget for the year, what is left, warranties ending in the next 90 days and your home inventory value. Below them: the overdue and due-soon tasks, the warranties ending soon and your tasks by season. A second page charts the tasks due in each of the next 12 months, lists this season's tasks and compares budget and spending for each home system. Both windows can be set from 1 to 365 days.

The maintenance schedule

The Schedule sheet holds up to 120 tasks and starts with 35 common ones, from replacing the HVAC air filter to cleaning the gutters. Each task has a home system, a season (Spring, Summer, Fall, Winter or Any) and a frequency: weekly, every two weeks, monthly, every 2, 3, 4 or 6 months, yearly, every 2, 3 or 5 years, every N months of your choice, or as needed. Type the date you last did it and the next due date, days left and status fill in. A weekly, biweekly or monthly task tagged with a season shows Off-season the rest of the year, so a summer-only weekly job is not counted as due in winter.

Repairs and your upkeep budget

The Repair Log keeps up to 300 jobs: the date, what was done, the system, the room, the type (repair, service, replacement, upgrade or inspection), who did it, the cost and whether a warranty covered it. On the Budget and Lists sheet you set an annual upkeep budget, or a home value and a percentage you choose yourself, and optional budgets for up to 14 home systems. Each system shows what you spent this year, what is left and a status: On track, Almost there or Over budget. You also see spending for the last five years and by type of work.

Warranties, inventory and contractors

The Warranties sheet registers up to 80 appliances and products with model, serial number, purchase date, price and a term in months or years (or lifetime), plus an optional extended plan end date; coverage end, days left and status fill in. The Inventory sheet lists up to 200 items by room and category with quantity, value and whether you kept the receipt, and totals up to 18 rooms. The Contractors sheet keeps up to 40 names with trade, phone, email and your rating, and counts jobs, total paid and the last job from your Repair Log.

Questions

Do I need Excel? No. A free Google account is enough: open the link in the PDF and click Make a copy. The .xlsx file is included for anyone who prefers Excel.

Does it send me reminders? No. Nothing pops up. Open the Dashboard to see what is overdue or due soon, counted from today or any date you type.

Can I print it? Yes. Every sheet is set up to print in landscape on US Letter. The Dashboard prints on two pages. The Schedule prints its 35 starter tasks and each other list its first page of rows, with the column headers repeated on every page; an empty list prints a page of blank rows with room to write by hand, and the note above each list explains how to print more rows.

Can I change the starter tasks? Yes. Rename them, change the frequency or season, or clear them and add your own.

Does it tell me what to repair or how? No. The tasks are general reminders. For repairs, inspections and anything involving gas, electricity, structure or water, consult a licensed professional.
