Spreadsheet
  • Instant download, nothing ships
  • Works with Excel & Google Sheets
  • Yours to keep, no subscription

This job application tracker spreadsheet keeps every job you want or have applied for, every interview and every follow-up in one place, and counts the results for you. Log each application with its status, and the Dashboard shows how many you have sent, how many companies got back to you, your interviews and offers, and which follow-ups are due. It works in Google Sheets and in Microsoft Excel, and it is an instant digital download: nothing is shipped.

You get: one ZIP file with a PDF that holds your Google Sheets link (open it, then File, then Make a copy) and the same template as an Excel file (.xlsx), with three sheets plus a guide: the Dashboard, Applications and Interviews. Nothing is dated, so it works for any job search, whenever it starts.

Works in Google Sheets (on a computer is easiest; the Sheets app on a phone or tablet is fine for quick updates) and in Microsoft Excel 2016 or newer. You type only in the cream cells; counts, follow-up reminders and charts update on their own.

Who it's for

  • Anyone applying to many jobs at once who has lost track of which company said what, and when to write back.
  • Students, new graduates and career changers who want to see their search in numbers: what has been sent, what got a reply and what is still open.

The Dashboard

Eight figures sit at the top: applications sent, response rate, interviews (phone screens included), offers received, rejections, open applications, follow-ups due and upcoming interviews. A short line under them explains exactly how each one is counted. Below, a table and a column chart show applications sent and interviews for six months in a row; leave the first month blank and it moves along with your search, or type the month you want. A status table with a bar chart shows how many applications sit at each stage, with the share of everything you have sent. The last block lists what is due now, oldest first, plus any apply-by dates in the next three days, with the company, role, contact and how many days late or early each one is. An optional as-of date lets you see the Dashboard as of any day; leave it blank to use today.

Applications

Up to 300 rows: date applied, company, role, location or remote, source (job board, company site, referral, recruiter, networking, career fair or other), salary range as posted, status, the last reply from the company, a follow-up or apply-by date, the contact name, the link to the posting and notes. Ten statuses cover the whole path: Wishlist, Applied, Phone screen, Interview, Offer, Accepted, Declined, Rejected, Withdrawn and Ghosted. Wishlist jobs are the ones you have not applied for yet, so their date becomes an apply-by reminder. When a follow-up date arrives, the date turns color, the Check column says so and the job appears on the Dashboard list. The Check column also points out a missing company or status, a date in the future, a reply dated before the application and the same company and role entered twice.

Interviews

Up to 200 interviews, upcoming ones included: date, company (picked from a drop-down of the companies on your Applications sheet, each listed once), round (phone screen, 1st interview, 2nd interview, technical or task, panel, final or other), who you met, the questions they asked, whether you sent a thank-you note and notes. Keeping the questions in one column makes it easy to prepare for the next round. A past interview with no thank-you answer gets a gentle reminder.

Questions

Do I need Excel? No. A free Google account is enough: open the link in the PDF and click Make a copy. The .xlsx file is included for anyone who prefers Excel.

How is the response rate counted? An application counts as a response when the company got back to you: its status is Phone screen, Interview, Offer, Accepted, Declined or Rejected, it has a row on the Interviews sheet, or you logged a reply from them after the date applied. The rate is responses divided by applications sent, and the guide spells out every definition.

Can I print it? Yes. Every sheet is set up to print in landscape on US Letter. The Dashboard prints on two pages; each list prints its first rows with the column headers repeated on every page, and the note above each list explains how to print more rows.

Can I use it on my phone? Yes, in the Google Sheets app. Adding a row or changing a status is quick on a phone; the Dashboard is easier to read on a computer or tablet.

What if I applied to the same company twice? That is fine for different roles: each role gets its own row and the company appears once in the Interviews drop-down. The Check column only flags a row when the same company and the same role are already listed.
